Why empty fields make the lowest price the riskiest

When the process boundary is vague, every supplier fills gaps with their favorite assumptions: one folds upstream staging into turnkey, another excludes the auto-door entirely, another shrinks runoff to a half-hour empty-air demo. If a bid fails “scope completeness,” do not soothe yourself with total-price rank—open a clarification round first.

FAQ

Can we RFQ with only part photos and no I/O map?
Ask for a concept range or feasibility note, not a turnkey ranking. State clearly that “I/O and auto-door are TBD; prices below exclude unlisted interface hours.” Open a second comparable round once the signal list exists.
Must the RFQ name a brand/model?
Preferred models or “Brand A / equivalent” are fine. Equivalent must be testable: freeze payload, reach, split IP, I/O count, and acceptance—or “equivalent” is only a word in a spreadsheet and SAT cannot score it.
Should we attach video?
A 30–60 s door-side or pallet manual clip often beats three paragraphs of “tight space / fast takt” for interference and aux motions. Include the door open/close and place if you can—not only a bare-table pick.
Is the lowest price the best?
Align this checklist and the TCO rows first, then score with the weight table. If a bid excluded auto-door, vision, runoff, or cabinet protection, it assumed less work—compare unit price and lead time only after the scope matches.
